Purpose: This guide will help you import your archived email files (PST files) into Outlook. Please follow these steps carefully


Important Notes: 

  • You must use Outlook Desktop, not the web version Outlook.

  • Large email archives may be split into 2-4 separate PST files.

    • You will need to import each file separately using the same steps below if you receive more than one PST file.

  • The import process may take 10-30 minutes or longer depending on the size of your archive.

What You’ll Need: 

  • Your PST file(s) - these are your email archive files

  • The Outlook desktop application installed on your computer


Step 1: Download Outlook

Step 3: Go to the Settings Menu

  • Click on the Settings gear in the top-right corner of Outlook

Step 4: Open the Import Tool

  1. In the left-hand menu, select Files

  2. Select Outlook Data Files

  3. Select + Add file

Step 5: Open Your Archive File(s)

Navigate to where your archive file(s) were downloaded, select the file > Select Open

  • If you received more than one archive file, this step needs to be completed for each individual file.

Step 6: Expand your Archive Folder

Once the import is complete, look in the left sidebar of Outlook. You should see a new folder containing your archived emails. 

Your mailbox backup can be accessed by expanding the main folder (First name Last name)

If You Have Multiple PST Files

If your email archive was split into multiple PST files (for example: email@masters.edu.001, email@masters.edu.002, etc.), you will need to repeat Steps 4-5 for each PST file. Each file will be imported as a separate folder in Outlook.
