This policy outlines the responsibilities and requirements for employees who are issued a TMU-owned device. As believers, we are called to be faithful stewards of what we’ve been entrusted with. Scripture reminds us, “The prudent sees danger and hides himself, but the simple go on and suffer for it” (Proverbs 22:3). We live in a fallen world where theft, loss and damage are real threats. Prudence requires us to acknowledge these dangers and take deliberate action to protect what has been entrusted to our care. By signing this agreement, you acknowledge that you have read, understand, and agree to comply with all the terms and conditions set below. 


1. Device Ownership and Authorized Use
  • The device issued to you remains the property of the university at all times. You are authorized to use this device for university-related business purposes.
  • The device is assigned to you exclusively and may not be used by any other individual, including family members, friends, or colleagues. You are responsible for all activity that occurs on your assigned device. 
  • Only university-approved software may be installed; unauthorized "shadow IT" or pirated software is strictly prohibited. Requests for specialty software installations may be submitted to servicedesk@masters.edu
  • Use TMU’s GlobalProtect VPN when connecting to any off-campus WiFi network.
2. Physical Security Requirements
  • You must take reasonable precautions to protect the device from theft, loss, or damage at all times. 
  • Devices must never be left unattended in vehicles, regardless of whether the vehicle is locked or the device is out of sight. This includes brief stops, parking lots, and any other circumstances.
  • When working remotely or traveling, devices must be kept in your physical possession or secured in a locked location (e.g. a hotel safe or locked office). 
  • Devices should never be left unattended in public spaces, such as coffee shops, libraries, airports, or other locations. This applies even on TMU’s campus.
  • Devices must be protected from environmental hazards, including extreme temperatures, moisture, liquids, and physical impact. Do not leave devices near liquids or spills. If a liquid spill occurs on or near your device, immediately power it off. Blot any visible liquid with a cloth or paper towel and contact IT immediately. 
3. Theft, Loss, or Damage Reporting
  • In the event of theft, loss or damage to your device, you must immediately: 
  1. Report the incident to your supervisor and the IT department
  2. File a police report if the device was stolen

  • Failure to report theft, loss, or damage in a timely manner neglects our responsibility to be faithful stewards of the resources entrusted to us. Timely reporting is an essential expression of the stewardship and faithfulness we are called to demonstrate. 

4. Financial Responsibility

In the event that a TMU-owned device is stolen, lost or damaged due to failure to comply with this policy, your department will be responsible for covering the full replacement or repair costs.
